Privacy Policy

This Policy applies when you:

• visit hellothereyou.com or another website or page operated by HTY;
• request information, a resource, or a quote;
• receive or review a proposal, agreement, invoice, or payment page;
• use an HTY client portal, form, gallery, or media-delivery experience;
• attend an event where HTY provides photo or video services;
• communicate or do business with HTY; or
• apply to work with HTY.

A client or event host may separately control how it uses event media or guest information it receives. Its practices are governed by its own policies and agreements, not this Policy.

The information we collect depends on how you interact with us.

We may use personal information to:

• respond to inquiries and prepare quotes or proposals;
• plan, provide, customize, and support event services;
• create, process, deliver, host, and manage event media and galleries;
• administer proposals, agreements, signatures, invoices, and payments;
• operate client portals, forms, uploads, and requested resources;
• communicate about an inquiry, event, transaction, application, or business relationship;
• send newsletters or marketing messages when permitted, and honor opt-out requests;
• understand website, proposal, form, and gallery use;
• maintain, troubleshoot, secure, and improve our services;
• detect spam, abuse, fraud, and security incidents;
• evaluate applicants and administer workers;
• comply with legal, tax, accounting, insurance, and contractual obligations; and
• establish, exercise, or defend legal claims.

We may create aggregated or de-identified information and use it for lawful business purposes. We will not attempt to reidentify information that we maintain as de-identified except where permitted to test our de-identification process.

We may disclose personal information as follows.

HTY may create and deliver photographs, video, audio, and related media as part of an event engagement. Access to and use of those deliverables may also be governed by the applicable Service Agreement and the event host's notices or policies.

HTY does not treat your use of our website, attendance at an event, submission of content, or receipt of event media as blanket permission for HTY to use identifiable event content in its own marketing. HTY seeks explicit client permission before publishing event photos or videos for HTY promotional purposes and may request additional releases when appropriate. A person depicted in identifiable event media may contact HTY to object to future HTY promotional use; HTY will review the request with the client or event host and applicable release terms.

We use cookies and similar technologies for security, essential functionality, analytics, error monitoring, and business visitor measurement. These technologies may allow providers such as Google Analytics, Apollo, Sentry, and Cloudflare to receive online identifiers, device information, page activity, network information, or diagnostic context.

HTY uses Apollo's resulting information to understand business interest in its services. HTY does not sell personal information for money. Some state privacy laws may define certain disclosures for analytics or business visitor measurement as a "sale," "sharing," or targeted advertising even when no money is exchanged. See our Cookie and Tracking Notice for current details and available controls. You may also contact us to request that we limit disclosures where applicable law gives you that right.

We retain personal information for as long as reasonably necessary for the purposes described in this Policy, including to provide services, maintain business and financial records, preserve signed agreements, deliver galleries, manage permissions, resolve disputes, enforce agreements, and comply with legal obligations.

Delivered event galleries are generally available online for 90 days and then moved to cold archive. Cold archiving removes routine gallery access but is not the same as deletion. HTY does not promise a fixed deletion date for cold-archived event media and may retain it while operationally useful and technically available. Restoration may depend on technical availability, the applicable Service Agreement, and HTY's current archive practices. HTY may delete archived media when reasonably necessary for legal, privacy, security, storage, or business reasons.

HTY retains identifiable gallery access records only while reasonably needed to provide and protect gallery access, respond to requests, prevent fraud or misuse, and address legal or contractual issues. HTY deletes or de-identifies those records when they are no longer reasonably needed, subject to backup and legal-hold requirements.

Email addresses and phone numbers entered directly into third-party event media delivery platforms are retained under the platform's privacy policy and retention practices. HTY does not routinely export that delivery information into its own business systems. Guests may contact HTY about an access or deletion request; HTY will address information held in its own systems and, when necessary, act through or coordinate with the applicable platform.

HTY retains inquiry records while an opportunity or business relationship remains active and afterward while reasonably needed for relationship history, legal compliance, security, dispute resolution, or another purpose described in this Policy. HTY then deletes or de-identifies the records, subject to backup and legal-hold requirements.

HTY retains rejected applicant records, including introduction videos, while reasonably needed to administer recruiting, consider future opportunities, comply with law, or address a legal claim. HTY deletes those records when they are no longer reasonably needed, subject to backup and legal-hold requirements.

Retention varies by record type. In deciding how long to keep other information, we consider:

• the duration of the inquiry, event, client, applicant, or worker relationship;
• whether media or records remain part of an active deliverable;
• legal, tax, accounting, insurance, and contractual requirements;
• security, fraud-prevention, backup, and dispute-resolution needs; and
• the sensitivity and volume of the information.

When information is no longer reasonably needed, we may delete, de-identify, or securely archive it, subject to backup and legal-hold requirements.

We use administrative, technical, and organizational safeguards designed to protect personal information. No system, transmission, or storage method is completely secure, and we cannot guarantee absolute security.

Access links for proposals, agreements, invoices, portals, and galleries may provide access to private information. Do not forward an access link unless you intend to give the recipient access, and contact HTY if you believe a link has been misused.

You may:

• unsubscribe from marketing emails using the link in the message;
• control certain cookies and browser storage through your browser settings;
• opt out of Google Analytics and Apollo through HTY's Privacy choices;
• ask to access, correct, or delete personal information about you;
• request a portable copy where applicable;
• object to or request limits on certain processing or disclosures where applicable; and
• withdraw consent for future processing where we rely on consent.

These rights vary by jurisdiction and may be subject to exceptions. We may need to verify your identity and authority before acting on a request. We will not discriminate against you for exercising an applicable privacy right.

To submit a request, use the email link below with the subject line “Privacy Request.” Please do not send sensitive identification documents unless we ask for them through a secure method.

Our websites and online services are not designed for children to use independently, and HTY does not knowingly ask children under 13 to submit personal information without authorization from a parent, legal guardian, or responsible event host. Event services may nevertheless include minors when arranged by a client, school, nonprofit, family, or other event host.

Clients and event hosts are responsible for providing required event notices and obtaining any consent required for minors to participate. If HTY learns that personal information was submitted directly by a child under 13 without the required authorization, HTY will review and delete it where appropriate. Parents or legal guardians may contact HTY about identifiable media or personal information involving a child. HTY will review and respond to those requests in coordination with the client or event host, subject to the applicable Service Agreement and law.

Residents of some U.S. states may have additional rights concerning access, correction, deletion, portability, appeal, targeted advertising, or disclosures treated as a sale or sharing under local law. These rights apply only where the relevant law covers HTY and the requested information.

To exercise an applicable right or appeal a decision, use the contact method in Section 9 and explain the request. We may deny or limit a request where permitted by law and will explain our decision when required.

HTY is based in the United States. If you access our services from another country, your information may be processed in the United States and other locations where our service providers operate. Those locations may have different data-protection laws than your home jurisdiction.

Our websites and communications may link to services operated by others. Their privacy practices are governed by their own policies. This Policy does not apply to information a third party collects independently from HTY.

We may update this Policy as our services or legal obligations change. We will post the updated version and revise the effective date. We may provide additional notice when a change is material.
